Categorisation rules

Automate recurring categories without losing control.

What is this?

A rule connects recognisable transaction text with a chosen category and subcategory.

What do you see?

You see the matching field, text, category and whether the rule is active.

What are shared merchant rules?

These are shared mappings between a public merchant name and a category, activated only after review and approval by a platform administrator. Proposing a shared rule does not mean automatic approval. Your personal rules and manual decisions take precedence. A shared rule is used for eligible uncategorized outgoing transactions and does not replace protected entries such as own transfers, income and debt payments.

What data is shared through a shared rule?

The shared knowledge is the merchant name and category/subcategory. Amounts, accounts, IBANs and full descriptions of personal transactions are not published to other users through the rule. Use the public merchant name without personal names, numbers or other identifiers. Save a personal rule when you need a different category.

What can you do?

Create a rule while processing a recurring group or add one manually. In AI categorization use ‘Accept and remember’ or ‘Create/update rules from accepted suggestions’. Review the existing rule and future category, select rows and confirm. When a counterparty has conflicting categories, first choose which one to use in future.

Which rule takes precedence?

Remembered AI decisions create an exact counterparty-name and payment-direction rule (incoming or outgoing), ahead of general contains rules. An existing exact rule is updated after confirmation; general rules are retained. Already accepted suggestions use your latest manual category, including subsequent corrections. ‘Accept’ alone changes the transaction without creating a rule.

What does the result mean?

An active rule applies to future matching imports. Changing it does not automatically alter already saved transactions.
